Wedding Venue Checklist Malaysia: 30 Questions Before You Pay a Deposit

The most expensive wedding venue surprise is usually the question nobody thought to ask.

That ballroom looked stunning on Instagram. The garden venue felt magical at sunset. But neither tells you whether the quote actually covers the wedding you’re planning. Uh huh, we’ve heard the horror stories: the “per table” price that didn’t include service charge, the outdoor ceremony with no rain plan, the band that couldn’t load in until an hour before the march-in.

So here are 30 questions to take with you on every venue visit around KL, Selangor and the rest of Malaysia. They work for hotel ballrooms, restaurants, event spaces and outdoor venues. Not all of them will apply to you. Copy the ones that do into an email and ask for the answers in writing.

1. Date, space and guest numbers

  1. Is our date available, and how long can you hold it without a deposit?
  2. Is the space ours alone, or will another event be running next door?
  3. How many guests can sit comfortably with our table layout, not just the maximum capacity?
  4. What’s the minimum number of tables or guests we must guarantee?
  5. When do we confirm final numbers, and what if fewer people turn up?
  6. Can we see a floor plan with the stage, entrance, pillars, buffet and sightlines?

Why it matters: A ballroom that “fits 300” might feel very tight once you add a stage, a live band and a photo booth. Ask for the layout that matches your actual wedding.

2. The real price

  1. Is the price per table, per guest, per session or a minimum spend?
  2. Does the total include SST and service charge?
  3. What food and drinks are included, and for how long?
  4. Is a food tasting included? How many people can come?
  5. How much for children, vendor meals and last-minute extra guests?
  6. What does it cost to extend the hours or add another room?
  7. Are corkage, cake-cutting, cleaning or damage deposits charged separately?
  8. What happens to the price if we move to a bigger or smaller ballroom?

Two hotel packages can look almost identical on paper and still include very different things. Always compare the full written quote, not the headline price.

3. Ceremony, food and family needs

  1. Is there a separate space for an akad nikah, ROM, tea ceremony or other family rituals?
  2. Can you handle dietary needs and allergies? Is the kitchen halal certified, and can we see the certificate?
  3. Is there a private room for the couple and family to change and rest?
  4. How easy is access for grandparents and guests with mobility needs?
  5. Any rules on ceremony timing, music volume or cultural performances?

4. Weather, logistics and vendors

  1. For outdoor spaces, which specific covered area is our rain backup?
  2. When is the wet-weather call made, and who makes it?
  3. How much parking is there? Is there valet, and what does loading look like?
  4. Can we bring our own decorator, photographer, planner, caterer or band?
  5. Are there outside-vendor fees, approved supplier lists or insurance requirements?
  6. When can vendors load in, set up, do a sound check and pack out?
  7. What AV is included (mics, projector, screen) and who runs it?

5. Protect your booking

  1. How much is the deposit, and when are the remaining payments due?
  2. What if we cancel or change the date? What’s refundable?
  3. What if you can’t host the event, say, because of renovation or closure?
  4. Who’s our named coordinator, and will every promise go into the signed contract?

A simple way to compare venues

Make one column per venue and compare the all-in cost for the same guest count and format. Not just the package rate on the brochure.

Item Venue A Venue B
Date and event hours
Seated capacity and minimum guarantee
Food, drinks and dietary arrangements

Rain backup and vendor rules

Written total for your guest count RM ___ RM ___

Copy-and-paste email for venues

Hi, we’re planning our wedding on [date] for about [number] guests. Could you send us a written quote with the package inclusions, minimum guest numbers, all taxes and service charges, any ceremony or tea ceremony space, your wet-weather arrangements, vendor rules, deposit schedule and cancellation or postponement terms? A floor plan for a seated dinner would be great too. Thank you!

Keep every version of the quote and every agreed change in one folder. And if you stumble on our Malaysia wedding banquet price list, remember it’s a 2018 archive. Prices have definitely moved since then!
